Onboarding & offboarding

New hires do their own paperwork. You never handle their SSN.

Send an invite and your new hire completes everything on their phone: account, personal details, SSN, federal and state W-4, I-9 Section 1, direct deposit, emergency contacts and document signatures. You watch progress live.

Highlights

What’s in onboarding

Account first

The invite opens only the account step; every later step needs the new hire’s own signed-in session.

W-4 and state forms

Federal W-4 and state withholding forms for each work and resident state, printable as official forms.

I-9 done properly

Section 1 attestation, employer Section 2 capture, 3-business-day deadline and audited views.

Direct deposit

Bank details are encrypted on entry, with step-up and a cooling-off period on changes.

Checklist templates

Tasks by department, location and worker type, including launch-state hire notices.

Offboarding

Checklist plus a final-pay deadline helper and PTO payout flag.

Details

Onboarding

Mobile-first, resumable, step by step

Each step saves on its own, so a new hire can stop and pick up later. Contractors get a shorter flow with W-9 and payment details.

  • Works on screens from 360 px
  • Sign the offer, handbook and policies in the same flow
  • Confirmation receipt after I-9 Section 1

FAQ

Onboarding questions

Does PayrollGrove run E-Verify?
Not at launch. PayrollGrove captures I-9 data and produces the official form; E-Verify is on the roadmap.
Does PayrollGrove submit new-hire reports?
It prepares the per-state new-hire report data and reminds you of due dates. You submit it to the state directory.
