Consent to Electronic Delivery of Tax Statements
Last updated November 3, 2026 · Version 2026-11-draft.1
The disclosures you see before choosing to receive Forms W-2 and 1099 electronically instead of on paper.
About this consent
Your employer must give you a Form W-2 (if you are an employee) or a Form 1099 (if you are a contractor) each year. It may deliver them electronically only if you affirmatively consent after receiving the disclosures below, as required by IRS rules (Treasury Regulation §31.6051-1(j) for Form W-2 and the corresponding rules for Form 1099). If you do not consent, you will receive paper statements, and nothing else about your pay changes.
The consent you are asked to give
This is the exact text shown in PayrollGrove when you choose electronic delivery:
I consent to receive my Form W-2 and/or Form 1099 from your employer electronically through PayrollGrove instead of on paper. This consent covers every tax year until I withdraw it. I may request a paper copy at any time by contacting my employer, even after I consent. I may withdraw this consent at any time in Tax documents settings or by writing to my employer; withdrawal takes effect for statements furnished after my employer processes it and does not affect statements already furnished electronically. I will keep my email address current in my profile so I am notified when a statement is available. To view and print statements I need a current web browser and software that opens PDF files. Statements remain available in PayrollGrove until October 15 of the year after the tax year, and for as long as I have access afterwards; I should download a copy for my records. My employer will notify me if these requirements change and ask me to consent again.
In the product, "your employer" is replaced with your employer's name.
What it covers
Your consent covers the Forms W-2 and 1099 your employer issues to you through PayrollGrove, including corrected statements, for the current year and every following year until you withdraw it. It does not cover other documents; those are covered by the Consent to Electronic Records and Signatures.
Your right to a paper copy
You can ask your employer for a paper copy of any statement at any time, even after consenting. A paper request alone does not withdraw your consent unless you say so.
How to withdraw, and what happens
You can withdraw consent at any time in Tax documents settings in PayrollGrove, or by writing to your employer. Withdrawal takes effect for statements furnished after your employer processes it. It does not affect statements already furnished electronically. After withdrawal, your employer will send future statements on paper to the address on file.
Keeping your contact information current
When a statement is ready, PayrollGrove emails you a notice (the email never contains your Social Security number or the statement itself). Keep your email and mailing address current in your profile, or tell your employer if they change.
Hardware and software you need
- A device with internet access and a current version of Chrome, Edge, Firefox, or Safari.
- Software that opens, prints, and saves PDF files.
- An email account.
Before you consent, PayrollGrove asks you to open a sample PDF to confirm you can access statements in this format.
How long statements stay available
Each statement remains available in PayrollGrove at least until October 15 of the year after the tax year it covers, and for as long as you have access afterwards. If you leave your employer, your access may end, so download and keep a copy of every statement.
Changes
If the hardware or software requirements change in a way that could prevent you from accessing your statements, your employer will notify you and ask you to consent again before delivering further statements electronically.
