Consent to Electronic Records and Signatures
Last updated November 3, 2026 · Version 2026-11-draft.1
Your consent under ESIGN and UETA to receive documents and sign them electronically in PayrollGrove.
What you are agreeing to
Your employer (or the company you work with) uses PayrollGrove to send documents and collect signatures. Before you sign your first document electronically, PayrollGrove asks you to consent, under the federal Electronic Signatures in Global and National Commerce Act (ESIGN) and the state Uniform Electronic Transactions Act (UETA), to:
- receive documents, disclosures, and notices from the company electronically; and
- sign them electronically, with the same legal effect as a handwritten signature.
Scope
This consent covers documents the company sends you through PayrollGrove, such as offer letters, policies and handbooks, acknowledgements, onboarding forms, and agreements. Tax forms have their own requirements: Form W-4 and Form I-9 are signed under the rules that apply to them, and receiving your W-2 or 1099 electronically requires a separate E-Delivery Consent.
How signing works
- You review the full document before signing.
- You sign by typing your name or drawing your signature, and you confirm your intent to sign.
- PayrollGrove records the date and time, your account, and technical details such as IP address and browser.
- The finished document is sealed into a PDF and a SHA-256 fingerprint of it is stored, so any later change can be detected. An audit certificate listing the signing events is attached.
- You and the company can download the signed document and its certificate at any time while you have access.
Your right to paper
You may ask the company for a paper copy of any document at any time, free of charge. You may also ask to sign on paper instead; contact the company directly, because the company decides how to provide paper documents.
How to withdraw consent
You can withdraw this consent at any time by telling the company in writing (or through any method it provides). Withdrawal applies to documents sent after the company processes it. It does not affect the validity of documents you already signed electronically. After withdrawal, the company must provide documents to you on paper or by another method you agree to.
Keeping your information current
Keep your email address current in your PayrollGrove profile so you receive notices that documents are waiting. If you no longer have access to PayrollGrove, ask the company for copies.
Hardware and software requirements
You need a device with internet access, a current version of a major web browser (Chrome, Edge, Firefox, or Safari), an email account, and software that can open and save PDF files. If these requirements change in a way that could prevent you from accessing documents, you will be asked to consent again.
Retention
Signed documents are kept by the company in PayrollGrove for as long as the company's retention settings and the law require. Download copies for your own records.
Your confirmation
By selecting "I agree" you confirm that you have read this consent, that you can access and save PDF documents on your device, and that you agree to use electronic records and signatures.
